About The Role:

Days of Working: Monday to Friday

Shift Pattern: 09:00am to 17:00pm

Systems Coordinator Duties.

  • Central role in Facilities Work Management including planning/scheduling of maintenance activities.
  • Take responsibility for ongoing Computerised Maintenance Management System (CMMS) development.
  • Create, configure and update CMMS reports to the various site’s Facilities teams as required.
  • Assist with keeping the plant and equipment database on the CMMS up to date.
  • Central role in Preventive Maintenance (PM) Optimisation and Standardisation including research on best practices.
  • Assist with development of electronic Work Orders.
  • Ensure floor plans and other drawings are updated as required through use of AutoCAD.
  • Visit various sites to meet with Facilities staff and provide training when necessary.
  • Liaise with Projects team to promote ‘Soft Landing’ policy for new builds and refurbishments.
  • Assist Facilities Systems Team with preparation of progress reports and presentation materials.
  • Propose ideas and solutions as applicable to FM processes and procedures.
  • Develop and update flow charts to graphically represent Facilities processes.
  • Compile periodic reports.
  • Assist with development and integration of Facilities IT support systems.
  • Assist department with ISO accreditation.
  • Regular updating of the client’s Regulatory Requirements document.
  • Work with relevant stakeholders on introduction of BIM.
  • Assist in Continuous Improvement measures across all Facilities systems.
  • Assist with Facilities / Asset Management improvement initiatives.
  • Central point of contact for all Office-Space matters
  • Generate monthly and weekly reports for the management team.
  • Generate ad hoc reports for colleagues with access to the Visual Directory
  • Continuously update Office-Space to ensure the most up-to-date information is always available

Competencies:         

  • Previous experience in a similar role
  • A service-minded attitude with previous IT support experience.
  • Strong understanding of Windows, Emaint CMMS, Concept CMMS
  • Knowledge of Service Now, Office Space, Office365, and Teams.
  • Excellent problem-solving skills and a deep understanding of troubleshooting.
  • A customer-centric approach with a can-do attitude.
  • Ability to work in a dynamic helpdesk environment, providing support to VIP users.
