About The Role:

We are seeking a proactive and customer focused Workspace Support Coordinator to support the day-to-day delivery of Facilities Management services at our Dublin workplace.

Working closely with the Regional Facilities Manager, the successful candidate will play an important role in maintaining a safe, compliant, well-presented and welcoming working environment. The position will involve regular workplace inspections, contractor coordination, facilities administration, health & safety support, event set-up and general workspace support.

This is a hands on role suited to someone who is organised, approachable and comfortable taking ownership of day-to-day workplace issues while maintaining high standards of service.

Key Responsibilities:
Act as a key point of contact for the Regional Facilities Manager, supporting the day-to-day delivery of Facilities Management services.
Complete regular site audits, workplace inspections and compliance checks, identifying, logging and reporting maintenance issues and monitoring agreed service standards.
Ensure ongoing adherence to Standard Operating Procedures (SOPs), workplace policies and Facilities Management best practices.
Meet, greet and escort contractors and suppliers while on site, ensuring they comply with site procedures and Health & Safety requirements.
Monitor and manage the Facilities Management inbox, responding to enquiries in a timely and professional manner and escalating issues where appropriate.
Support the monitoring of Health & Safety compliance, identifying and reporting hazards, defects and areas of non-compliance for appropriate action.
Manage workplace signage, ensuring signage remains current, relevant, appropriately positioned and maintained to a high standard.
Support the set-up and break-down of workplace events, including meeting room configurations, furniture moves and coordination of facilities requirements.
Conduct regular inspections of office furniture and workplace equipment, reporting damage, defects and maintenance requirements through the appropriate channels.
Manage water cooler provision across the site, including coordinating supplier visits, reporting faults, arranging repairs and ensuring equipment remains clean, operational and compliant.
Support pest control management, including reporting issues, coordinating contractor attendance and following up on remedial actions to minimise workplace risks.
Help maintain a safe, clean, professional and welcoming workplace, proactively identifying opportunities to improve the workplace and employee experience.
Support the delivery of facilities projects, office moves and workplace changes, helping to minimise disruption to employees and business operations.
Maintain accurate records relating to inspections, maintenance issues, contractor visits and facilities activities where required.
Work collaboratively with Facilities Management colleagues, contractors, suppliers and wider site teams to ensure issues are resolved efficiently.

Skills & Experience:
Previous experience in Facilities Management, workplace services, building support or a similar customer facing operational role.
Strong organisational skills with the ability to manage multiple tasks and priorities.
A proactive approach to identifying and resolving workplace issues.
Good communication and interpersonal skills, with confidence dealing with employees, contractors and suppliers.
Strong attention to detail and a commitment to maintaining high workplace standards.
An understanding of basic Health & Safety requirements within a workplace environment.
Good administrative and IT skills, including the ability to manage email enquiries and maintain accurate records.
The ability to work independently while also working effectively as part of a wider Facilities Management team.
A professional, approachable and service-focused attitude.
