About The Role:

Days of Working: Monday to Friday - 09:00 to 17:00

The Asset Operations Coordinator – Data & Surveys plays a key role in the coordination and delivery of asset survey and data collection activities across the portfolio.

This role acts as the central link between clients, contractors, and internal data functions, ensuring that asset collection projects are effectively scoped, coordinated, and delivered to a high standard. The role supports the successful capture, validation, and preparation of asset data, enabling accurate asset registers and Facilities Management Reports (FMRs).

Working closely with the Data Lead and Asset & Lifecycle Manager, the postholder will contribute across survey coordination, contractor management, client engagement, and asset data support, within a collaborative team where responsibilities are shared and flexible.
 

Key Responsibilities:

1. Client & Stakeholder Engagement

  • Engage with clients to confirm scope of works and secure approval for asset survey quotations
  • Provide updates on survey progress, delivery, and outputs
  • Act as a key point of contact between clients and operational delivery

2. Contractor Coordination & Management

  • Obtain and review quotations from contractors for asset survey works
  • Arrange and coordinate site visits, ensuring all logistics and access requirements are in place
  • Provide contractors with clear project scope, asset requirements, and supporting information to enable successful delivery
  • Monitor progress and resolve any delivery issues as they arise

3. Survey & Asset Data Delivery

  • Coordinate the planning and execution of asset surveys and data collection activities
  • Ensure surveys are completed in line with required standards and project expectations
  • Support the smooth flow of information between survey delivery and data processing

4. Data Support & Quality Assurance

  • Work closely with the Data Lead to support the validation and quality assurance of asset data
  • Review collected data to ensure completeness and accuracy before final output
  • Ensure data is appropriately prepared for asset registers and FMRs
  • Use Excel and Power BI as reference tools to review and understand data outputs

5. Asset Management & Lifecycle Support

  • Process and manage asset change forms
  • Support updates to asset records and lifecycle data
  • Contribute to maintaining an accurate and up-to-date asset dataset across the portfolio

6. Team Contribution

  • Support a collaborative team environment where responsibilities are shared across survey coordination, data, delivery, PPM & Compliance.
  • Assist the Data Lead and Asset & Lifecycle Manager as required across projects and operational activities
  • Contribute to continuous improvement in processes, delivery, and data quality

Skills & Experience:

Essential:

  • Comfortable using Microsoft Excel for data handling and review
  • Ability to work with data confidently, with strong attention to detail
  • Good organisational skills with the ability to manage multiple activities and priorities
  • Strong communication skills, with the ability to engage with clients, contractors, and internal teams
  • Ability to understand and translate requirements into coordinated actions
  • Experience working in a facilities management, engineering, or asset-related environment

Desirable:

  • Familiarity with Power BI (for viewing and understanding dashboards and reports)
  • Experience working with asset data, surveys, or CAFM systems
  • Understanding of asset lifecycle principles
