The Senior Business Support Administrator to the Business Director must be aware of the organisations aims and objectives and work to help the Business Director make the best use of their time by assisting in various projects as well as dealing with all administrative tasks. The Senior Business Support Administrator will be the first point of contact with both internal and external people. Discretion and confidentiality are essential attributes to be successful at this role.
The Responsibilities:
- First point of Contact- managing all communications and ensure all relevant information is provided to the Business Director in a timely manner and deadlines met.
- Diary management
- Booking flights, hotels, car hire, valet parking, visas for Business Management.
- Assist with administration of company Purchase Orders requirements.
- Assist with the ordering & administration of Business Supplies.
- Assist with the booking of company meeting rooms.
- Act as a note-taker at company meetings as & when required.
- Assist with the completion of any other administrative tasks as & when required
- Report Preparation.
- Managing databases and filing systems, presentations, power point and correspondence, attending meetings as required and recording minutes, in person and over teams.
- Managing Expenses.
- Event Management – arranging and facilitating events, conferences, business lunches etc.
- Liaising with both external and internal parties on behalf of the Business Director.
- Ad hoc and miscellaneous tasks as required to support the Business Director.
- Leave Management.
The Requirements:
- Knowledge and experience with managing travel and itineraries
- Experience of working for Directors/Senior Management
- Excellent Diary Management with the ability to pre-empt and look ahead at all times
- Essential experience in Microsoft Office- Outlook/Word/Excel/PowerPoint
- Ability to multitask and experience of dealing with a demanding role and high-level workload
- Ability to prioritise work and manage time effectively and be proactive
- Excellent Organisational skills
- Communication skills – the ability to communicate well at all levels
